Your role:

As project coordinator, you will provide financial and administrative support for the operations and staff of APM Podcasts, the podcast unit of American Public Media. Your primary area of responsibility is managing and tracking all aspects of the group's podcast development process. You will work closely with the podcast development staff and collaborate with producers, marketing staff, digital sales staff, development staff, financial staff and legal staff. You will also manage project timelines, work across the company to prepare reports, communicate with internal and external partners, schedule/manage production needs and support production teams.

This is a 6 month temporary position. There may be the possibility to extend.

Day to day responsibilities:

We're seeking a Project Coordinator who will manage the following areas and tasks  

  • Production and Administrative Support
    • Track pilot development and launch processes for new podcasts
    • Manage interdepartmental communications regarding podcasts under development.
    • Support production scheduling and contract needs in collaboration with production teams.
    • Plan and coordinate meetings, including the preparation and distribution of advance materials, notes, and action items.
    • Create professional business reporting through desktop publishing applications including Microsoft Office (Word, Excel, PowerPoint), and other necessary software applications; ability to summarize and present.
  • Budget Administration
    • Track podcast production budget, including preparing, tracking and reporting, scenario analysis, ensuring accurate expense processing, and communicating budget issues. 
    • Manage the ongoing budget development process, including periodic projections and budget revisions as needed for APM Podcasts and other departments.
    • Provide finance and development departments with required information.  

Qualifications of the ideal candidate  

  • A Bachelor's degree or equivalent experience
  • Four years of administrative support experience, particularly with senior management.
  • Strong attendtion to detail, well-organized,  and able to coordinate and report on complex projects.
  • Self-starter with strong writing and financial management skills.
  • Strong collaborative management skills.
  • Strong coordination and planning skills.
  • Ability to work independently while maintaining effective communication and accountability.
  • Ability to work collaboratively and effectively with colleagues in multiple departments/divisions.
  • Experience with MS Word, MS Excel and MS PowerPoint.
  • Ability to learn new applications as required.
